This policy explains what information Bryllyant Console reads from a connected QuickBooks Online company, how Bryllyant, Inc. ("Bryllyant", "we") uses and protects it, and who else handles it. Bryllyant Console is Bryllyant's internal tool for its own books, under the Bryllyant Console License Agreement. Bryllyant's website and services are covered by its general Privacy Policy.
1. What it reads
Through Intuit's accounting API, Bryllyant Console can read Bryllyant's QuickBooks company, including:
- the company's own details and settings;
- the chart of accounts and financial reports;
- transactions, such as invoices, bills, payments, deposits, expenses, and journal entries;
- the lists of clients, vendors, employees, and products or services, which can include names, contact details, and tax identification or bank account numbers;
- files attached to transactions.
It also holds the connection keys Intuit issues, so that it can reach the company.
2. How Bryllyant uses it
Only to keep Bryllyant's books and run its business: answering questions about Bryllyant's finances, preparing reports for Bryllyant and its accountants, and, when an authorized Bryllyant officer asks, recording, correcting, voiding, or deleting transactions and list entries, attaching files, and emailing forms such as invoices through QuickBooks.
Bryllyant doesn't sell this information, use it for advertising, or share it for anyone else's marketing.
3. AI assistance
Bryllyant Console is used with an AI assistant, Anthropic's Claude, working under the direction of Bryllyant's officers. Information Bryllyant Console reads may be sent to Anthropic to carry out a request, such as summarizing a report or preparing a journal entry. The Anthropic account Bryllyant uses is set so that Anthropic doesn't use this information to train its models.
The assistant changes the books only when an authorized officer asks, and an officer confirms each time before a form is emailed from QuickBooks.
4. Who else handles it
- Intuit, which operates QuickBooks.
- Anthropic, the AI provider named above.
- Google, whose Workspace holds Bryllyant's email and documents, where reports and attachments may be saved.
- Bryllyant's accountants and tax preparers, when their work needs the records.
- Government authorities, when the law requires it.
- A successor to Bryllyant's business, if it's sold or merged, under this policy.
5. Where it's kept and how it's protected
- Bryllyant Console runs on computers under Bryllyant's control, in the United States. It isn't a hosted service, and it accepts no connections from the internet.
- Its connection keys are stored in an access-restricted file on an encrypted disk, never in source code. The short-lived keys it uses for each call are kept only in memory.
- Everything it exchanges with Intuit is encrypted in transit.
- Tax identification, bank, and card numbers are shown only by their last four digits.
- It asks Intuit only for access to the accounting data, never for payments.
- Information Bryllyant saves from QuickBooks, and the assistant's session history, are kept in Bryllyant's own private records.
6. How long it's kept
The connection keys stop working when the connection ends, and are deleted when Bryllyant disconnects Bryllyant Console. Records Bryllyant keeps from QuickBooks are kept as long as Bryllyant needs them for its business and for accounting, tax, and legal requirements. Files downloaded from QuickBooks for reading are saved in a private temporary folder.
7. Disconnecting and deletion
Disconnecting Bryllyant Console, from QuickBooks' list of connected apps or by Bryllyant revoking the connection, ends its access immediately. To ask about information Bryllyant keeps, or to ask for it to be deleted, email privacy@bryllyant.com.
